Managing Appointments

Once appointments are booked, here's how to manage them effectively.

Viewing Appointment Details

  • Click on any appointment in your calendar
  • A details panel will open showing:
  • Contact information
  • Date and time
  • Appointment type
  • Any notes or answers to booking questions
  • Status

Editing an Appointment

  • Click on the appointment
  • Click Edit or the edit icon
  • Modify the details:
  • Change the time
  • Update contact info
  • Add notes
  • Save your changes

Rescheduling

From the Calendar

  • Click on the appointment
  • Click Reschedule
  • Select a new date and time
  • Confirm the change

Drag and Drop (if enabled)

  • Click and hold the appointment
  • Drag to the new time slot
  • Release to reschedule

Notification

The contact typically receives an automatic notification when you reschedule.

Canceling an Appointment

  • Click on the appointment
  • Click Cancel or Delete
  • Choose whether to notify the contact
  • Confirm cancellation

Cancellation Reasons

Some setups ask for a reason:

  • Client requested
  • Schedule conflict
  • No-show
  • Other

Marking No-Shows

If a contact doesn't show up:

  • Open the appointment
  • Mark as No-Show
  • This helps track attendance patterns

Appointment Statuses

  • Confirmed: Appointment is set
  • Pending: Awaiting confirmation
  • Cancelled: Appointment was cancelled
  • No-Show: Contact didn't attend
  • Completed: Appointment happened

Best Practices

  • Confirm appointments: Send reminders before the meeting
  • Reschedule don't cancel: Try to find another time
  • Track no-shows: Follow up with contacts who miss appointments
  • Keep notes: Record important details from each meeting
