Managing Appointments
Once appointments are booked, here's how to manage them effectively.
Viewing Appointment Details
- Click on any appointment in your calendar
- A details panel will open showing:
- Contact information
- Date and time
- Appointment type
- Any notes or answers to booking questions
- Status
Editing an Appointment
- Click on the appointment
- Click Edit or the edit icon
- Modify the details:
- Change the time
- Update contact info
- Add notes
- Save your changes
Rescheduling
From the Calendar
- Click on the appointment
- Click Reschedule
- Select a new date and time
- Confirm the change
Drag and Drop (if enabled)
- Click and hold the appointment
- Drag to the new time slot
- Release to reschedule
Notification
The contact typically receives an automatic notification when you reschedule.
Canceling an Appointment
- Click on the appointment
- Click Cancel or Delete
- Choose whether to notify the contact
- Confirm cancellation
Cancellation Reasons
Some setups ask for a reason:
- Client requested
- Schedule conflict
- No-show
- Other
Marking No-Shows
If a contact doesn't show up:
- Open the appointment
- Mark as No-Show
- This helps track attendance patterns
Appointment Statuses
- Confirmed: Appointment is set
- Pending: Awaiting confirmation
- Cancelled: Appointment was cancelled
- No-Show: Contact didn't attend
- Completed: Appointment happened
Best Practices
- Confirm appointments: Send reminders before the meeting
- Reschedule don't cancel: Try to find another time
- Track no-shows: Follow up with contacts who miss appointments
- Keep notes: Record important details from each meeting
