Managing Action Priorities
Not all actions are equal. Learn to prioritize effectively.
Understanding Priorities
Actions typically have priority levels:
- Urgent: Needs immediate attention
- High: Important, do soon
- Normal/Medium: Standard priority
- Low: Can wait if needed
Visual Priority Indicators
Look for:
- Color coding: Red (urgent), Orange (high), etc.
- Icons: Exclamation marks or flags
- Position: Urgent items may appear at the top
- Labels: "Urgent" or "High Priority" tags
Sorting by Priority
- In your Manual Actions view
- Click the sort/filter options
- Choose Sort by Priority
- Urgent items will appear first
When to Prioritize
Focus on high-priority actions when:
- Starting your day
- Returning from a break
- Have limited time
- Queue is large
Creating Your Own System
If priorities aren't set automatically:
- Scan your queue at the start of each day
- Identify time-sensitive items
- Note any VIP contacts
- Handle those first
Balancing Priorities
- Don't only do urgent: Normal tasks pile up
- Set time limits: Spend X time on high priority, then others
- Review daily: What's urgent today may not be tomorrow
- Communicate: If overwhelmed, talk to your team
Handling Overdue Actions
Overdue items need attention:
- Filter by Overdue
- Assess each one:
- Still relevant? Complete it
- No longer needed? Skip with reason
- Needs reassignment? Talk to your manager
- Clear your overdue items regularly

- Morning review: Check priorities first thing
- End-of-day prep: Know tomorrow's priorities
- Don't cherry-pick: Tempting to only do easy ones
- Realistic expectations: Some days are busier than others
- Ask for help: If overwhelmed, speak up
